Job Summary:

We are seeking a dedicated and detail-oriented Administrative Sales Assistant to join our construction building supply company. As an Administrative Sales Assistant, you will provide vital support to our sales team, ensuring smooth operations and efficient customer service. Your primary responsibilities will include managing administrative tasks, coordinating sales activities, and providing exceptional customer support. This role requires excellent organizational skills, strong communication abilities, and the ability to multitask effectively in a fast-paced environment.

Responsibilities:

  • Administrative Support: Assist the sales team with day-to-day administrative tasks, such as preparing sales reports, managing correspondence, and maintaining records.
  • Coordinate and schedule meetings, appointments, and travel arrangements for the sales team.
  • Prepare and distribute sales-related documentation, including proposals, contracts, presentations, new customer on-boarding, assist with invoicing and payment collection
  • Maintain accurate and up-to-date customer and sales data in the company's CRM system.
  • Work with warehouse & delivery teams to coordinate deliveries and special arraignments with customers
  • And any additional tasks assigned within job related duties

Sales Coordination:

  • Collaborate with the sales team to ensure timely and accurate processing of orders, quotes, and invoices.
  • Liaise with internal departments to coordinate the delivery of products to customers, resolving any logistical issues that may arise.
  • Assist in the preparation of sales forecasts, market analysis, and competitor research.
  • Support the sales team in lead generation and follow-up activities, tracking customer inquiries and ensuring timely responses.

Customer Service:

  • Provide exceptional customer service by responding promptly to customer inquiries, resolving complaints, and addressing customer concerns.
  • Assist customers in product selection, providing information on pricing, availability, and product specifications.
  • Build and maintain strong relationships with customers, ensuring their satisfaction and fostering long-term partnerships.

Inventory Management:

  • Assist in monitoring inventory levels and coordinating with the warehouse to ensure product availability.
  • Collaborate with the purchasing team to maintain accurate stock records and facilitate timely replenishment of inventory.
  • Assist purchasing department to process any purchase orders needed

Requirements:

  • High school diploma or equivalent; additional qualifications in business administration or sales will be an advantage
  • Proven experience as an administrative assistant or sales assistant, preferably in the construction or building supply industry
  • Strong organizational skills with the ability to manage multiple tasks and prioritize effectively.
  • Excellent written and verbal communication skills
  • Proficiency in MS Office (Word, Excel, PowerPoint) and experience with CRM systems.
  • Detail-oriented with a high level of accuracy in data entry and record keeping.
  • Exceptional customer service skills and the ability to build rapport with customers.
  • Ability to work independently as well as collaboratively in a team environment.
